An employee arrives at work, leaves for a business meeting, finishes work—the entire history of the day, week, month or year is recorded in a special reports database. Only a few people have access to this summary, including the district governor Cezary Przybylski.

“This gives me quick access to information. I immediately know whether the employee I want to assign a task to is at work or has perhaps gone out on official business. I can receive such information by email or telephone, and very quickly,” says the district governor. “It is a step toward the future. Manually signing in on the attendance list is slowly becoming a thing of the past,” he adds.

It monitors and protects at the same time

District Office employees received magnetic cards bearing their first and last names, numbers and job titles. They also serve as identification cards. According to the officials, the working-time registration system is user-friendly.

“All I have to do is hold the card up to the reader, and the system records that I have arrived at work,” says Renata Czerwińska, head of the Promotion Office. “This system is a form of protection. If someone sees me outside the office during working hours, they might think I am taking care of private matters. Recording official departures in the system will protect employees from unfair accusations.”

Card-activated doors and information security

The system records three types of activity: arrival (the beginning of the working day), departure (the end of work) and an official departure during the day. “Access to the confidential records office will be granted to employees responsible for information and data security,” says district governor Cezary Przybylski. “We will install doors with digital locks there, which only certain officials will be able to open using a magnetic card.”

The investment, including employee training and two years of servicing, cost more than PLN 19,000.
